Please read these terms and conditions carefully before using Our Service.
When you (hereinafter “Traveler” or “Client”) book a journey — trekking, expedition, peak climbing, cultural tours, or any other adventure or tour package — with Nepal Myth and Mountain Trails (hereinafter “the Company”), you enter into a binding agreement governed by these Terms & Conditions. By using our services or website, you confirm that you have read, understood, and accepted these terms in full.
Booking a Trip
- A “trip” refers to any itinerary or package booked with the Company, including trekking, climbing, expeditions, tours, or similar services.
- A booking becomes firm only when the Company issues a confirmation invoice or email to the Client. This marks the moment the contract becomes effective.
- Until confirmation is sent, the Company reserves the right to modify the price of the trip. Any prior quotes or verbal assurances do not constitute a binding agreement until confirmed in writing.
Services Offered
- The Company agrees to provide the arrangements outlined in the confirmed itinerary — including permits, accommodations, guiding, logistics, and other agreed services — in accordance with the schedule and cost specified at the time of confirmation.
- The Client agrees to comply with all Company regulations and the established code of conduct for the duration of the journey.
Deposit Requirement
- To secure a booking, the Client must pay a non-refundable deposit equal to 25% of the total trip cost.
- This deposit must be made via bank transfer to the Company’s designated bank account. (Bank details will be provided separately.)
- Any bank transfer fees, intermediary charges, or currency fluctuation shortages incurred during payment are the responsibility of the Client.
- If the amount credited is short due to such issues, the Client must settle the difference in cash with the Company in Kathmandu before the trek begins.
Final Payment / Confirmation
- Final payment may be made either by bank transfer prior to departure or in cash upon arrival in Nepal. Full payment must be completed before the trek/trip begins.
- If payment is not received by departure time, the Company reserves the right to cancel the booking and retain the non-refundable deposit.
- For trips starting outside Nepal, full payment is required by bank transfer at least two weeks before the starting date. Any shortfall due to transfer charges must be rectified before departure.
Cancellation by Client
- All cancellation requests must be submitted in writing and acknowledged by the Company. The date of receipt determines refund eligibility.
- Cancellation charges (percentage of total trip cost):
- Immediately after booking / upon deposit: 25% (non-refundable)
- 3 weeks before departure: 50% refund
- 1 week before departure: 25% refund
- Within one week of departure: no refund
- No refund for no-shows, voluntary early departure, or unused services.
Cancellation by the Company
- The Company may cancel any trip before the start date due to reasons beyond its control (natural disasters, weather, strikes, political unrest, etc.).
- In such cases, the Company will refund the deposit or full amount (if paid) or offer an alternate trip of equivalent value.
- The Company is not liable for incidental expenses incurred by the Client (flights, visa fees, etc.).
Health, Medical Conditions & Special Requests
- Clients must inform the Company in writing of any medical conditions, disabilities, pregnancy, or limitations at the time of booking.
- Trips may be unsuitable for certain clients based on age, fitness, or medical conditions.
- Special requests (dietary or otherwise) are not guaranteed, though efforts will be made to accommodate them.
- The Company does not guarantee the standard of medical care; services depend on local facilities.
Travel Insurance
- All clients must have comprehensive travel insurance covering accident, illness, medical treatment, evacuation, and personal liability.
- Insurance for trip cancellation, luggage loss, or personal belongings is strongly recommended.
- Proof of valid insurance must be presented upon request; failure may result in refusal of service without refund.
Flight Delays, Itinerary Changes & Unpredictable Conditions
- Weather-related flight delays or cancellations may occur; extra costs for accommodation, meals, or transport must be paid by the Client.
- Clients arranging their own accommodation during delays must inform Company representatives.
- Once trekking permits are issued, itinerary changes are generally not allowed; any amendments will incur extra permit costs.
- The Company may adjust trip plans if unavoidable circumstances arise and will notify the Client in writing. Any price adjustments will be settled in Kathmandu.
Passport, Visa, Entry Requirements
- Clients must ensure their passport is valid for at least six months beyond the trip end date and obtain necessary visas.
- The Company may assist with visa arrangements for Bhutan, Tibet, etc.
- The Company is not responsible for entry issues caused by invalid documents or missing visas.
Injury, Evacuation, and Liability
- The Company is not responsible for illness, injury, emotional distress, or health issues during the trip.
- Medical emergencies and evacuations must be covered by the Client’s travel insurance.
Unused or Missed Services
- No refunds or discounts for unused services due to voluntary or involuntary reasons.
- This includes illness, delays, or changes of plan.
Food, Meals & Responsible Conduct on Trek
- Meals are planned assuming reasonable portion sizes per person.
- Clients should avoid food waste; served food must not be discarded.
- The Company will not reimburse for food that is tasted and discarded.
- Serious allergies or dietary restrictions must be communicated in writing at booking time.
- Guides will try to ensure suitable meals but remote-region limitations may affect options.
Privacy & Personal Information
- The Company may collect personal information for communication purposes.
- Information will be kept confidential and not shared without consent.
Amendment of Terms
- The Company reserves the right to update or revise Terms & Conditions at any time.
- Clients are responsible for checking updates before booking or departure.
